Questions about Candex
Why should I use Candex?
Candex is FrieslandCampina’s preferred purchasing channel for small-spend transactions. We prefer to work with business partners who support our purchasing strategy by using Candex. It is a simple, convenient, and secure way to manage purchasing transactions. FrieslandCampina remains your business partner (delivery party), while Candex processes the invoice and payment (bill-to-party). This method is less time-consuming and easier.
Regular supplier onboarding in FrieslandCampina takes quite a lot of time and requires efforts both from the supplier and the FrieslandCampina vendor management team. By using Candex, you can enter business with FrieslandCampina without having to complete the supplier onboarding process.
How much does Candex charge?
As a vendor for FrieslandCampina, using the Candex platform is free of charge.
What legal agreement is behind the payments?
You will work as per FrieslandCampina’s standard terms and conditions. Candex acts as the third-party beneficiary of any agreement between FrieslandCampina and its suppliers. Both parties agree to manage payments via Candex. As a supplier, you will issue your invoice to Candex (as per the Purchase Order details) and deliver the products/services to FrieslandCampina. Candex will then pay your invoice on FrieslandCampina’s behalf.
You can find additional information about the FrieslandCampina and Candex partnership and process in the official partnership confirmation document.
How does the purchasing work via Candex?
First, a buyer at FrieslandCampina will contact you to request a quote. You will provide a quotation to FrieslandCampina, including any additional charges that may occur during the delivery of services/products. Based on your quote, the buyer will create a PO (Purchase Order) to Candex for an authorized amount. This PO will be sent to your email for review and acceptance. Upon accepting the PO, you will be asked to register your company profile on the Candex platform. Once registered, you can invoice Candex multiple times, up to the total amount of the PO. After receiving your invoice, Candex will invoice FrieslandCampina on your behalf. You will then receive payment from Candex according to the payment terms specified in the PO. Please note that the payment terms are based on the upload date of your correct invoice, so ensure you upload your invoice on the Candex platform either on or shortly after the issuance date, but no later than 14 calendar days.
Can I change the payment terms?
No, this is not possible. The payment terms with Candex are standard, and are always communicated with the PO you receive.
How do the taxes work on payments?
The PO you receive will show the authorized amount without taxes. You should add the applicable taxes in your jurisdiction to your invoice to Candex. Candex will then invoice FrieslandCampina, including all the taxes due in that jurisdiction.
What if a payment is late?
Candex significantly reduces late payments because it makes FrieslandCampina’s invoicing process much easier. Although late payments are rare, they can occur. Before sending a payment reminder to support@candex.com, please verify the standard payment term received with the Purchase Order, and consider the upload date of your correct invoice as the baseline date of the payment terms to determine if your payment is indeed overdue.
Where should I send the invoice?
Any Purchase Order issued through the Candex platform must be invoiced to Candex and uploaded to the Candex platform. Please, do not send any invoices directly to FrieslandCampina.
Who do I contact if I have a question?
Please, check out first the Supplier guide and/or the help section on the Candex platform.
In case of further questions, do not hesitate to contact support@candex.com or in case of order-specific questions please contact your business partner at FrieslandCampina. What is the language of the Portal?
